This policy applies to our website, our signup and contact forms, our email communications, our WhatsApp community, and purchases made at our venue, The Clubhouse, or through our online channels.

  • We do not collect or store your card details. Payments are processed by our third-party payment providers (see section 5), who handle your card information under their own security standards and privacy policies.

  • To communicate with you about your membership, orders, bookings, and enquiries

  • To send you emails about club events, wine releases, and club news — only if you have opted in, and you can unsubscribe at any time

  • To add you to our WhatsApp community — only if you have opted in

  • To process payments for event tickets, wine purchases, and subscriptions

  • To fulfil and deliver wine orders and subscriptions

  • To verify that you are 18 years or older, as required by South African law for the sale and marketing of alcohol

  • To comply with our legal obligations, including tax and consumer protection laws

  • To improve our website, events, and offering

We will not use your information for any purpose that is incompatible with the purposes listed above without asking you first.

 

4. The legal basis for processing

We share information only with service providers who help us operate, and only to the extent necessary:

  • Website hosting and forms: Wix.com Ltd, which hosts our website and processes form submissions

  • Payment processing: Yoco (in-person card payments), PayFast (online payments and subscriptions), and Quicket (event ticketing). These providers process your payment details directly; we never see or store your full card information.

  • Communication: WhatsApp (Meta Platforms) for our community group, and our email service provider for club newsletters and event communications

  • Membership administration: cloud-based tools we use to manage member records and verify membership

  • Delivery: courier services, where needed to fulfil wine orders (name, address, and contact number only)

Some of these providers may store data on servers outside South Africa. Where this happens, we only work with providers that protect personal information to a standard consistent with POPIA.


We may also disclose personal information where required by law, court order, or a lawful request by a public authority.


6. WhatsApp community


Joining our WhatsApp community is optional. If you join, your mobile number and profile name will be visible to other members of the group, as is standard for WhatsApp groups. WhatsApp's own privacy policy also applies to your use of the platform. You can leave the community at any time, and you can ask us to remove your number from our records.


7. Age restriction


Our website, club, products, and marketing are intended only for persons aged 18 years or older. We do not knowingly collect personal information from anyone under 18. If we become aware that we have collected information from a person under 18, we will delete it. By signing up, you confirm that you are 18 years or older.


8. Cookies


Our website uses cookies and similar technologies, primarily through our website platform (Wix), to make the site work properly, remember your preferences, and understand how visitors use the site.
